It applies to our website and to the care services we provide in Dartford and the surrounding areas.

We are registered with the Information Commissioner’s Office (ICO) as a data controller, and we are registered with the Care Quality Commission (CQC) to provide personal care.
The information we collect
If you contact us or use our website: your name, telephone number, email address, the details you give us about the care you are enquiring about, and basic technical information such as your IP address and the pages you visit.
If we provide care: contact and next-of-kin details; date of birth; details of your health, medication, mobility and daily routines; risk assessments and care plans; daily notes of the support provided; details of any incidents, accidents or safeguarding concerns; funding and invoicing details; and correspondence with you, your family and other professionals.
If you apply to work with us: your application, references, right-to-work documents, DBS check results, training records and employment records.
Why we use it, and our lawful basis
- To answer your enquiry and arrange an assessment — our legitimate interests, or steps taken at your request before entering a contract.
- To plan and deliver your care safely — performance of our contract with you. For health information we rely on the provision of health and social care (Article 9(2)(h) UK GDPR).
- To keep people safe — our legal obligations and substantial public interest, including safeguarding.
- To meet regulatory and legal duties — for example records required by the Health and Social Care Act 2008 and reporting to the CQC or the local authority.
- To manage payments and accounts — contract and legal obligation.
- To send information you have asked for — consent, which you can withdraw at any time.
Who we share it with
We only share information when there is a proper reason to do so, and we share the minimum necessary. That may include: GPs, district nurses, hospitals and other health professionals involved in your care; Kent County Council or another funding authority where they arrange or fund your care; the Care Quality Commission; emergency services; and, where required, safeguarding teams. We also use trusted suppliers (for example our care planning and IT systems) who process information on our behalf under a written contract. We do not sell your information, and we do not use it for advertising.
How long we keep it
Care records are kept in line with the Records Management Code of Practice for health and social care — normally eight years after our involvement ends (or, for a person who has died, eight years after death). Enquiry records are kept for up to two years, and recruitment records for unsuccessful applicants for six months. Financial records are kept for six years.
How we keep it safe
Records are held securely with access limited to staff who need them for their role. Staff are trained in confidentiality and data protection, systems are password protected, and paper records are stored securely. We keep a record of any personal data breach and will report qualifying breaches to the ICO within 72 hours, and tell you if a breach is likely to put your rights at high risk.
Your rights
You have the right to ask for a copy of the information we hold about you; to have inaccurate information corrected; to ask us to delete information or restrict how we use it; to object to processing; to data portability in some circumstances; and to withdraw consent where we rely on it. Some rights are limited where we must keep records for care or legal reasons.
To make a request, contact us using the details above. We will respond within one month. If you are unhappy with how we have handled your information you can complain to us first, and then to the Information Commissioner’s Office — ico.org.uk or 0303 123 1113.
